A quick recap: "Stocking stuffer" is a term we grabbed from Yuletide. A stocking stuffer is "quick art" done for one of the prompts unclaimed in the main exchange. Stocking stuffers are just fun little extras, and aren't expected to be complex, polished pieces. Stocking stuffer claims are open to EVERYONE, even those not signed up for the formal exchange.

How to Claim Prompts


  1. Go to the updated prompts list and make a list of the numbers you'd be interested in creating art for, in order of preference.

    • There is a quick reference list of fandoms here to help make browsing easier.

    • Your list may be as long as you like.

  2. Copy the form below, fill it out and leave a comment to this post. Comments will be screened.

  3. You will only be assigned ONE prompt at a time. Once you have finished and submitted your current stocking stuffer art, you may then submit a new comment claiming another.

  4. You should receive a confirmation comment or email within a couple of days of commenting with your claims.

  5. STOCKING STUFFERS ARE FIRST COME, FIRST SERVED! Up to 3 different artists may be assigned the same stocking stuffer claim. (The prompts list will be updated as we go.)

Hello everyone! We hope you're enjoying the great art we've already posted—We have LOTS more in store. This post is multi-purposed and a bit long, so we're going to break it down into sections, but they're all important, so please take a minute a read it all!

Etiquette Reminder


We've never ever had a problem with this, but we just wanted to remind everyone that love and effort have gone into every piece of art we showcase here, and you should at least be respectful of that even if the style or subject matter isn't your personal cup of tea. Also, don't forget that commenting to art posts is awesome, as it encourages artists to make MORE ART, and everybody loves that!

Stocking Stuffers


Finally, stocking stuffer claims will be opening tomorrow! (We needed to wait until we were sure we didn't need any pinch hits, and it looks like we're going to squeak by this year without any! Knock on wood!)

"Stocking stuffer" is a term we grabbed from Yuletide. A stocking stuffer is "quick art" done for one of the prompts unclaimed in the main exchange. (We'll have a new, updated list of what's still available tomorrow.) Stocking stuffers are just fun little extras, and aren't expected to be complex, polished pieces.

Stocking stuffer claims will close on 23 December, and they're due by 25 December at the latest. Artists may claim as many as they like, but only one at a time. (IE, you have to turn in your first before claiming your second.)

Weekly Challenge!


Because we want to encourage artists to make art as much as we can, this year we're going to try out a weekly challenge during the month of December. Each week during December, we'll post a special challenge "theme" on Sunday, and artists will have through the following Saturday to turn in art based on that theme. Here's the details:
  • ANYONE CAN PARTICIPATE IN THE WEEKLY CHALLENGE! And when we say anyone, we mean anyone: If you wanted to participate in the main exchange this year but were unable to, here's your chance! Artists do not have to have signed up for the formal exchange to submit weekly challenge art. (Just make sure you're aware of our guidelines before submitting.)

  • Art can be for ANY fandom.

  • There is no limit for how many submissions you can make for the weekly challenge.

  • If you're taking part in the main exchange, you must have already submitted art for your first assignment to participate in a weekly challenge.

Instructions for how to turn in your art can be found here. PLEASE FOLLOW THE INSTRUCTIONS CAREFULLY. The format of your email subject line is particularly important! This ensures it doesn't get lost amidst all our other mail.

We've bumped back stocking stuffer claims until after the above deadline, but we'll definitely still be doing them, so just keep an eye out!

We had six artists who failed to check in; we've emailed them giving them until tomorrow to check in. Because there were so many, we're going to go ahead and hold off a couple of days on opening the pinch hit/stocking stuffer claims. Judging by your check ins, most of you are still working on your original claims anyway, and we should have a better idea of whether we'll need any pinch hits by then.

Important Dates


  • November 24-30: MANDATORY ARTIST CHECK-IN. It's really important that you check-in during this time, as we will otherwise assume that you've dropped out of the exchange.

  • December 1: Stocking stuffers and pinch hit claims open. Any unassigned prompts will be available for stocking stuffers.

  • December 8: Primary claims due. (We encourage you to submit early if you're able!)

  • December 15: Secondary claims due, if applicable.


How to Submit Your Completed Art


To submit your finished art, please complete the steps below in order:
  1. Upload your images to your own preferred image host. (Yuletart will not be hosting images this year. This both helps the mods and gives you more control over your images.) If you don't already have a means to upload and hotlink your images, there are a multitude of options available, including Photobucket, Imgur, and the photo gallery included with LiveJournal accounts. Please note: We encourage you to sign your image (and/or add your blog's URL on the side of the image in a small font), as we will not be adding a Yuletart watermark this year.

  2. In an email, please include the following:
    • Subject for Main Claims: Art for YOUR RECIPIENT by YOUR NAME (Example: Art for Glockgal by Alchemy)
      Subject for Stocking Stuffers: Stocking Stuffer for YOUR RECIPIENT by YOUR NAME
      Subject for Challenge Art: Challenge Art by YOUR NAME

    • Email body: Copy/paste and fill out the following information. You should replace anything in (parentheses). DO NOT CHANGE ANY FORMATTING. If you are submitting weekly challenge art, you may remove the "For:" line.

  3. Submit the email to: yuletart at gmail dot com


We will send you a reply to confirm receipt and ask any potential questions prior to posting. Please give it a few days before writing to ask if we received your art, as we generally receive most art in the exchange all at once, and it takes time to check over all the submitted info.

Assignments


If you signed up for Yuletart 2012, you should have received your assignment via email by now. If you check your spam folder and still can't find your email, please let us know ASAP and we'll shoot you another copy. Also, please look over your assignment carefully and let us know if there are any errors. We've had a few typical tangles since we started sending out emails, and if there's anything else that needs to be corrected, it's better that we know sooner rather than later.

As previously mentioned, every artist who signed up had at least one prompt claimed from their list, which is AWESOME, because it means nobody was left out. We had so many claims that no prompt needed to be duplicated, and some lucky folks will get art for two of their prompts due to the option to complete a second artwork. Any remaining unclaimed prompts will be available to claim for as "stocking stuffers" (Quick art) on November 19th.

Guidelines for submitting your art will be posted later this week.

Dear Artist


In years past, we've encouraged our participants to write "Dear Artist" letters clarifying their prompts/wishes. This came up on Tumblr the other day, so we figured we'd continue to give you guys the option. Some things to remember:
  • It's important that you list your name how you submitted it to the exchange. (This should be what we called you in your assignment email.)

  • It would also be helpful if you copied your prompts direct from the prompts list, including numbers. This is just one more way to help your artist identify you.

  • Remember that you have no way of knowing which of your prompts were chosen.

  • You may simply put your Dear Artist letter in a comment to this post or comment with a link to a post elsewhere (DW, LJ, Tumblr, etc).

  • Artists are not required to take your additional suggestions into account, as they chose your prompt based on what you originally listed.


If you have any questions about anything, please put "QUESTION" in your comment subject line so that we can quickly identify it.

Hello all!

Just a quick note to let you know that we have made everyone's assignments, but had some delays due to late claims that we wanted to be able to include. Because emailing assignments is such a big job, you may not receive yours until this weekend. Once all the assignments have been mailed, we'll post another notice on both the DW and Tumblr to let you know.

The good news is that EVERYONE got at least one of their prompts chosen, and due to the option to do two pieces of art, some lucky folks got two prompts chosen! Fingers crossed that everybody checks in on time so we don't need pinch hits this year!

Hi guys, this is just a note to remind you that the claims post will be officially closed at midnight tonight. If you haven't already received confirmation that we received your claims list, you should get that by the end of the day today.

If you haven't submitted your claims list, you need to do that and/or contact the mods (yuletart at gmail dot com) ASAP, as artists who have not claimed will have their prompts removed from the pool, and we are going to begin making assignments tomorrow.

Those of you who signed up to create two pieces of art, please note that secondary assignments are not guaranteed. We will be doing all of the primary assignments first, and whether you receive a second assignment will be entirely dependent upon your claims and what prompts are still available.

Assignments will be handed out no later than October 18th!

You will see that on the form is an option to complete TWO pieces of art. This isn't required, however, keep in mind that the due date for second claims is two weeks later than the due date for first claims, so if you take that option, you will be given a little extra time to complete it. Check out the schedule for more information.

Also note that there will be an opportunity to pick up pinch hits, stocking stuffers and random prompts later in the season.

This is just a friendly reminder that SIGN-UPS CLOSE AT MIDNIGHT PACIFIC TIME OCTOBER 1ST! If you haven't signed up yet, you only have through tomorrow, so hurry!

Probably due to a combination of factors (moving the exchange, doing things a new way, etc), we don't have as many participants signed up this year as we're used to, so consider this our final plea to promote the exchange. The more artists participate, the more options you have for claims!

If you have already submitted your sign-up form, you should have received a confirmation, either as a reply to your comment or an email. If you did not receive a confirmation, please let us know ASAP!

We have a few notes for you today!

  • Sign-Up Confirmations - It's been brought to our attention that even people with DW accounts may not be able to see their screened comments to the sign-up post. We know some of you can, as you've replied to yourselves, but just to be on the safe side, we'll be replying to everyone signed up with a brief confirmation. Anonymous folks will get an email instead. We'll post a reminder about this before sign-ups close. That way, if your form didn't go through for some reason, you should still have time to submit your prompts.

    Please note: We're happy to allow late forms if you submitted during the sign-up period and it didn't go through. HOWEVER, bear in mind that the window between closing of sign-ups and posting of prompts for claiming is less than a day. So, it really is best if you sign-up as early as possible. Which segues nicely into…

  • SIGN-UPS CLOSE IN A WEEK! - We know some of you have been waiting to sign up, and that's perfectly fine (some of us are, too). We designed a long sign-up period to allow everyone time to think about what prompts they'd like best and which of those are optimal for claiming. But the week will be over before you know it, so get those forms in ASAP!

  • PIMP THE EXCHANGE! - Now's the time when we have to plead with all of you to please promote the exchange as much as possible before sign-ups close. Think of it this way: The more people who participate, the greater the chance of your prompts being chosen. So it's really, really important that we get as many artists signed up as we can!

September 17-30: Sign-Ups are open via screened comments to this post. All sign-up prompts will be compiled into a post for claiming. Artists will have their personal info removed from their prompts and will be assigned a number which others may then claim.
October 1-14: Prompts claiming. (Also screened.)
October 18: The mods will hand out assignments by replying to comments in the claims post. (Anyone without a Dreamwidth account will have their assignment emailed.)

Please remember that by signing up for Yuletart, you're agreeing to complete at least one piece of art for someone else before the deadline, and that you will put thought and effort into your art.

How to Sign Up


When you sign up, you're submitting prompts for the art you'd like to receive. (In other words, art someone else will make for you!) You will later get the chance to claim the art you'd like to give.
  1. Copy the form from the text box below and fill out all of the information.

    • You may submit up to FIVE prompts. These prompts are listed on the form as A-E.

    • Prompts should be listed in order of preference, with A being the prompt you want filled the most and E being the prompt you want filled the least.

    • You do not have to submit all five prompts. Just bear in mind that you're more likely to have one of your prompts claimed if you offer a variety of options.

    • Prompts may be from the same or different fandoms and may feature the same or different characters. Again, bear in mind that keeping your prompts diverse increases the likelihood of someone claiming one.

    • The best prompts have strong, engaging ideas but aren't too confining in their details. It's better to say "I'd love this pairing in a steampunk setting" than "I want this pairing in a steampunk setting in London with green hats and buckled shoes as they chase after a purple people eater who has just killed the queen and is trying to escape back to its home planet using a jet umbrella."

    • Please keep your prompts as brief as possible.

    • "Highest Rating" is the highest rating of art you're comfortable with receiving for that particular prompt. Remember that Yuletart does not accept anything above an R ("Mature") rating, so please don't ask for anything explicit.

  2. Paste the ENTIRE FORM into a comment to this post.

  3. If you've pasted correctly, your prompts will be inside a scrolling text box in your comment. (This is to help the mods with all the copy/pasting.)

Hello everyone,

Unfortunately, there will not be a Yuletart exchange this year. Apologies for not being more prompt with this post, but we've been trying to determine whether we could manage it even if we started a bit late. We know many of you look forward to Yuletart every year, but the plain fact is that running it requires an extraordinary amount of time and energy, neither of which we have available this year.

At this time, we're not certain whether the fest will take place in coming years, as it will depend largely upon factors that are difficult to predict. If we're able to, we'll definitely re-open the fest, but for the time being we just want to thank everyone who has participated in the past five years, and give special thanks to those who were flexible and/or did pinch hits. We appreciate you all and wish you all the best.

Yuletart is officially over! It's been a bit of a bumpy year, but we hope that the experience has been rewarding for all of our artists. The mods offer their sincere apologies for any confusion that may have happened this year—Our main organizer for previous years and total goddess, [livejournal.com profile] glockgal, was unable to give much time to Yuletart this year, and our first goal was to have the fest happen at all (It almost didn't!). You know how it is when you sit down at someone else's computer and it feels strange? Well, we were kind of figuring things out as we went along, and we appreciate everyone's patience as we worked to make Yuletart happen.

In the coming year, the mods are going to sit down and evaluate the fest's entire process from top to bottom to try and figure out ways to make things more smooth for everyone next year. Two important changes we know for sure we'll be making will be:
  • Eliminating the separate "what you want to get" and "what you can give" sections on the sign-up form. Instead, there will be one section for "art you are willing to give and/or receive" and another for any additional fandoms you are willing to give but don't want to get. We had to occasionally make matches this year using the "what you want to get" section due to a lack of more obscure fandoms, and the resulting confusion over that was our biggest issue this year.

  • Additionally, part of next year's confirmation process will be you listing at least 5 artists from the sign-up post you'd like to give art to. Making matches is a tricky process, and we hope that this combined with the above will both make it easier on the mods and better ensure that you guys are getting the assignments you really want.

We also plan to post more reminders so that the fest doesn't slip your minds. Just as we do every year, we invite you to offer ideas for how you feel the fest can be improved. We can't promise that we'll use every idea offered, but we will definitely take them all under consideration. Please keep in mind, however, that running a fest is hard work and none of us get paid for it! We'd especially like ideas on how to revamp/better the fandom nomination process, as it remains somewhat unwieldy.

Thanks very much to everyone who participated, especially to those of you who submitted art on time and/or were pinch hitters. Fellow mod [livejournal.com profile] thoracopagus was a pinch hit star, stepping up to do 3! We only had a handful of pinch hits to make, though, so we count that as a big win.
